1. Who we are

AgentOven is developed by Techdwarfs Digital Technologies LLP (“we”, “us”). We decide how and why the personal data described here is used, so we are its controller (the “Data Fiduciary” under India’s Digital Personal Data Protection Act, 2023). Questions or requests: [email protected].

2. What this policy covers

Our websites, agentoven.dev and docs.agentoven.dev.
Our forms: “Book a demo”, “Contact sales” and the AgentOven Cloud waitlist.
LinkedIn Lead Gen Forms and other marketing we run, and the emails we exchange with you.
The data the AgentOven software itself sends us, described in section 5.

3. Information you give us

When you fill in one of our forms or a LinkedIn Lead Gen Form, we receive the fields on that form:

name and work email address
company, job title and team size
preferred region (Cloud waitlist)
anything you write in the message box

For LinkedIn Lead Gen Forms, LinkedIn shares with us the fields shown on the form, some of which LinkedIn pre-fills from your profile; you can edit them before you submit. LinkedIn’s own use of your data is covered by the LinkedIn Privacy Policy.

Please do not send us sensitive personal data (such as health or financial details) through these forms.

4. Information collected automatically

Analytics. We use Google Analytics 4 to understand how the site is used: pages viewed, the site or AI assistant that referred you, approximate location (from your IP address), and device and browser type. It uses cookies (_ga, _ga_*). You can block them in your browser settings or with the Google Analytics opt-out add-on.
Server logs. Our hosting provider (Microsoft Azure) records IP addresses, request times and browser details to operate and secure the service.

5. The AgentOven software

Open-source edition. You run it on your own infrastructure. It does not send us telemetry, and your prompts, responses, traces and data stay with you.
Enterprise edition. To validate your license, each installation contacts our license server (license.agentoven.dev), every six hours by default. It sends the license ID, an instance ID and instance fingerprint, the software version, your plan and organisation name, and aggregate usage counts (agents created, invocations, tokens used, test runs and retrieval queries). It does not send prompts, responses, traces, documents or your customers’ data.

6. How we use your information

to reply to your demo, sales or support request and run the conversation that follows
to manage the Cloud waitlist and tell you when early access opens
to send you relevant product updates; every such email lets you opt out
to understand and improve our site and product
to validate enterprise licenses and keep our services secure
to meet legal obligations

We do not sell your personal data, and we do not make automated decisions that have legal or similar effects on you.

7. Legal basis

We rely on your consent when you submit a form or accept analytics cookies where consent is required, and on our legitimate interests in responding to business enquiries, securing our services and validating licenses. You can withdraw consent at any time by emailing us; this does not affect processing that already took place.

Microsoft: website hosting (Azure) and email (Microsoft 365), used to deliver form submissions to our team.
Google: website analytics (Google Analytics).
LinkedIn: when you respond to our ads or Lead Gen Forms on LinkedIn.
Professional advisers, and authorities where the law requires it.

These providers may process data outside your country. Where they do, we rely on their contractual and legal safeguards for international transfers.

9. How long we keep it

Form, lead and waitlist data: while we are in contact with you, and for up to 24 months after our last interaction, unless you ask us to delete it sooner.
Analytics data: no more than 14 months.
License-check data: for the life of the license and up to 24 months afterwards, for billing and audit.

10. Your rights

Depending on where you live, you can ask us to access, correct, update or delete your personal data, to stop using it for marketing, to restrict or object to its use, or to give you a copy. Email [email protected]; we reply within 30 days. You can also complain to your data protection authority, such as the Data Protection Board of India or, in the EU and UK, your local supervisory authority.

11. Security

Data is encrypted in transit, access is limited to the people who need it, and our providers operate certified security programmes. No system is perfectly secure; if a breach affects you, we will tell you as the law requires.

12. Children

Our sites and products are for businesses and are not directed to anyone under 18.

13. Changes

We will post any changes on this page and update the effective date. If a change materially affects how we use data you have already given us, we will tell you before it applies.
